 Background:

PURPOSE OF POSITION     

The position is responsible for coordinating P&C Administration for all national staff, Assisting in National recruitment, managing Workday  information system, overall Employee relations duties, business partnering with managers and coordinating the staff care management in line with WV Sudan People & Culture policies and Partnership standards

workday System Management And User Support

  • Conduct Workday periodic trainings for field P&C team.
  • Conduct periodic ESS/MSS briefing sessions for new / existing staff and managers.
  • Liaise with the P&C users on a monthly basis to ensure that workday data is accurate and timely updated.
  •  Ensure that workday error rate reports are consistently at zero.
  • Generate employee data reports (i.e.; gender ratios, employment changes, turnover ratios etc...) for performance tracking and for management decisions.
  • Annually generate system reports as per Region request such as (Demographic and Leader Score Cards reports as related/required)
  • Any other ad hoc related duties.

Employee Relations & Admin

Overseeing and coordinating staff care / wellbeing, grievances, suggestions, all admin related department work (i.e. follow up ID’s, leaves, attendance, certificates, correspondences and reports)

  • Organize wellness sessions for staff with the relevant service providers on a periodic basis.
  • Ensure Staff care support is provided (i.e.; birthday sessions, bereavement cases, farewell, new born etc...).
  • Coordinate event initiatives for Sudan staff
  • Coordinate the quarterly town hall staff meetings and prepare a meeting report.
  • Attend to all other employee relations matters/queries.
  • Provide/generate personnel / other related reports as required.

Management Of Medical & Life Insurance, Pension Schemes and Social Insurance

  • Assist in the roll-out of the medical insurance schemes for Sudan national staff.
  • Assist in the roll out of the life insurance for the Sudan based staff.
  • Ensure 100% of staff enrollment on the scheme and separation is updated timely.
  • Facilitate correspondence with the insurer/broker concerning all benefit schemes.
  • Ensure staff benefits for medical, pension and other schemes are conducted.
  •  Liaise with pension administrator regarding all staff pension matters.
  • Carry out quarterly reviews of the performance of the medical schemes in Sudan.
  • Draft and roll out medical service survey with staff on annual basis, or as required.
  • Keep and analyze staff feedback for P&C director reference and decision.
  • Any other ad hoc related duties.

Coordination of the Annual staff recognition schemes

  • Coordinate the roll-out of the staff recognition scheme.
  •  Coordinate the annual nomination & selection processes.
  •  Coordinate /ensure that this is done at all other different locations.

Others / assist in National recruitment / self-development

  • Be able to assist in all administrative formalities during national recruitment, hiring and on boarding.
  • Look after self-development thru e-campus, on line training and on the job learning.
  • Any other ad hoc job related that is required by the superior.

 


 
 Minimum Qualification, Skills and Experience Required:

  • A university degree in Business Administration or Human Resource Management or other related field
  • Minimum one year experience in an organization/ NGO
  • Demonstrates well-developed interpersonal skills, excellent communication skills, both verbal and written.
  • Very good organizational and coordination skills.
  • Very good customer service skills and problem solving skills.
  • Excellent attention to details with good analytical skills.
  • Ability to work in a multicultural environment and promote team cohesion.
  • Extensive knowledge of national staffing processes and policies.
  • A good understanding of Sudan labor laws,
  •  Thorough knowledge of office systems, including computer applications in Microsoft office.

 


 

Include travel & work environment details.

Work environment:  Office-based with some frequent travel to the field/other offices.
