Receptionist / Administrative Officer
Embassy of Sweden

The Embassy of Sweden in Khartoum is responsible for Sweden's relations with the Republic Sudan and the Republic of South Sudan. The Embassy consists of four sections: Political Affairs, Development Cooperation, Migration as well as Administrative and Consular Affairs. The working language is English, which is expected to be mastered by all staff members.

 Duties and responsibilities:

The Receptionist/Administrative Officer’s responsibilities would include, but not be limited to, the following: 

  • Operate the Embassy's central switchboard;
  • Welcome guests and visitors to the Embassy;
  • Assist with booking of flights, hotels etc. related to duty travel of staff;
  • Uphold contacts and agreements with service providers (telecommunication, hotels and travel agencies);
  • Assist in consular and notary tasks; 
  • Be a team leader for drivers, coordinates vehicle bookings for external meetings, oversees the Embassy’s fuel management;
  • Be a team leader for cleaners, responsible for the arrangement and order of supplies;
  • Develop administrative procedures in consultation with the Head of Administration;
  • Assist as a backup for the financial officer.

 
 Minimum Qualification, Skills and Experience Required:

  • College diploma in secretarial science and office management or relevant studies;
  • Relevant experience and knowledge as receptionist, knowledge in the field of public administration and/or experience from Embassy work;
  • Excellent computer skills;
  • Excellent command of spoken and written Arabic and English;
  • Legal residence and work permit in Sudan;

  • Ability to work in a multicultural environment and to relate to government and international institutions;
  • Being a team-player, both internally and externally, with good communication skills;
  • Ability to take initiatives and work independently;
  • Outgoing, flexible, and able to handle stress well. 


 


TERMS AND CONDITIONS

The vacancy is a local position, full-time, starting with a probation period of three months. An individual salary system is applied. Applicants for the position are asked to indicate an expected salary range.
