 Background:

Under direct supervision of Logistic Coordinator the Admin/ Archivist is responsible for managing the archiving system for all logistic documentations and administrative documents for purchase files including purchases completed at Khartoum, or at base level.



 
 Duties and responsibilities:

Responsibilities and related tasks

Admin/Archivist follows TGH archiving system procedures.

Manages scanning and photocopying related to all purchases.

He/she represents TGH with professionalism, honesty and commitment.

 

Classifications/Archiving of Purchase Files

  • Photocopying, scanning and filing the current and previous projects.
  • Make sure purchase files are complete according to the check list.
  • Make sure the purchase files are fully stamped and signed correctly before archiving.
  • Classify the Purchase files according to the project.
  • Maintaining proper care and maintenance of all documents handled.
  • Make softcopies for the archive data base.
  • Stamping documents.
  • Communicating regularly with assigned supervisor about concerns, issues, or ideas arising from projects.
  • Labels manuscripts, folders, and containers.
  • Ensuring the goals and policies of the archives and Library are promoted and adhered to.
  • Arranges and sorts, purchase files properly as per TGH policy. Performs clerical functions related to archiving activities.

Coordination with other Departments and Field Teams

  • Liaise with the finance department to receive the complete purchase file for archiving.
  • Liaise with the field teams to receive hardcopies after the completion of any purchase file.

Electronic Archiving of Purchase file

  • Make sure that all hardcopies for the purchase files are scanned and kept in an agreed location, as per direction of Logistics Coordinator, which is accessible for the Logistic and Finance teams.
  • Update the archiving list data base on a daily basis.

Participates in all logistics activities

  • To participate to internal meetings as requested by the Logistics Coordinator.
  • To assist with any other logistics tasks, as requested by Logistics Coordinator

Any other tasks which may be required for the smooth operation of the projects

Capacity-building

  • Participate actively in any training courses recommended by TGH, and share new skills and knowledge with his/her colleagues
  • Inform his/her supervisor about identified training needs and training opportunities on his/her job related matters
  • Co-operate in the supervision of partner organizations according to TGH partnership agreements, as requested by the Logistics Coordinator


 


 


 
 Minimum Qualification, Skills and Experience Required:

  1. University degree preferred
  2. Strong experience at the same position
  3. Fluent Arabic - reading, spoken, written
  4. Basic English spoken.
  5. Good knowledge of logistics and the supply chain.
  6. Strong work experience at the same position with an INGO
  7. Very good organizational skills
  8. Good knowledge of MS office Package
  9. Ability to work in a team and under pressure
  10. Ability to work in a volatile environment
  11. Personal features: Diplomatic, attention to detail, honest, motivated, enthusiastic.
