Logistics Assistant - Gedaref
Alight

Alight came to Sudan in 2004 as one of the first humanitarian responders to the emergency needs of some 500,000 war-affected IDPs and host populations in the Tulus and Gereida corridors in South Darfur. In 2014, Alight expanded services its reach to include East Darfur. Today, Alight serves displaced populations and host communities in Kassala, Gedaref, West Kordofan, and East and South Darfur states. Alight provides lifesaving humanitarian action, recovery, and development services in these five states, with a country office based in Khartoum.

Field offices in Kassala, Gedaref, Nyala, El Daein,serve as the key state hubs for program delivery. Alight’s staff is more than 99 percent Sudanese, with nearly 800 full-time staff joined by over 400 incentive and community health and protection workers in delivering lifesaving programs and durable solutions in Sudan.

Alight is registered in Sudan and works closely with Federal and State Line Ministries to carry out its humanitarian and development mandates.

 Background:

COUNTRY PROGRAM MISSION:

The Alight Sudan Program started in 2004 in response to the emergency needs of some 600,000 war-affected IDPs and host populations in the Tulus and Gereida corridors in South Darfur. In 2014, Alight expanded services into underserved villages in the East Darfur, and more recently in Kassala state, East of Sudan. The overall aim of the program is to improve the well-being of the target populations by addressing their immediate humanitarian needs and contributing to long-term community stabilization



 
 Duties and responsibilities:

PRIMARY PURPOSE OF THE POSITION:

The LogisticsAssistant (LA) will perform and apply appropriate processes, procedures and policies that support the efficient and effective supply chain and procurement services.The Logistics Assistant (LA) will report to the Logistics Officer (LO)

  • Manage and maintain the in-house procurement monitoring and tracking tool to equip the program with the necessary information for strategic decision making
  • Perform administrative procurement activities in a timely and efficient manner, to support the Alight program in the purchase of goods and services for efficient field operations and achieving value for money.
  • Provide input to the updating of the procurement databases and records, to ensure accuracy and organization of information, and its availability and accessibility for others
  • Ensure compliance with Alight policies and procedures, as well as donor and government regulations
  • Compile all necessary documents for the procurement file and prepare payment requests upon receipt of vendors’ invoice; escalate non-compliance in documentation to the Logistics Officer
  • Document any delivery deficiencies or discrepancies when informed by the requestors/follow up with the vendor to ensure corrective actions take place
  • Coordinate with the Logistics Officer and Finance Department to ensure that payments are processed in a timely manner as per the Purchase Order or contract terms
  • Maintain a filing system for procurement files categorize by project/Bid and year and ensure electronic copies are stored properly
  • Support the Logistics Officer in preparing periodic reporting requirements
  • Perform any reasonable activity assigned by the Procurement Officer or other Senior Manager

 
 Minimum Qualification, Skills and Experience Required:

  • Secondary school education with an paraprofessional training or certification in other related field preferred
  • Continuous education and specialized trainings in procurement and/or logistics management
  • Minimum 2 years’ experience of procurement operations; with working experience in a humanitarian or development INGO preferred
  • Experience working on procurement activities including conducting analyses and developing reports
  • Good experience and technical skills in supply chain management and asset management
  • Experience working with suppliers or other third parties on a daily basis
  • Knowledge of donor’s procurement policies (US Gov, UNHCR etc.)
  • Ability to communicate in spoken and written English with aptitude in reporting are mandatory
