ROLE PURPOSE:

This role is to Provides supervision and coordination to all the sponsorship activities, processes to Sustain good relationship between plan, sponsored families and sponsors to improve Plan International Sudan and White Nile  sponsorship following the global guidelines to ensure quality of all communications as well as Work closly with Sponsorship Project Manager and projects coordinators  to facilitate effectively  and efficiently  Implementation of  Sponsorship program and grant activities where are implementing   at the  Sponsorship areas  to ensure that communities are empowered for sustainable development and they contribute to child and girls  rights outcome as per Plan International commitments and program quality policy .



 
 Duties and responsibilities:

Dimensions of the Role

  1. The Area Sponsorship and Community mobilization Coordinator Coordinator S/h will report Directory to Program Area Manager and dotted line to Sponsorship Manager and SPAD Manager also S/he will work collaboratively with the other departments in the Area, he/she supervises a team of 3-9 Sponsorship staff based in White Nile Area.
  2. Mobilize and facilitate active participation of children and their communities to participate in planning, monitoring and implementation and evaluation of community development initiatives.
  3. Build the capacity of children, families and community to collectively engage local leaders on identified issues.
  4. The ASC is a key person among the team in the area his/her role is mainly focus on the following dimensions of roles:
  • Timely and Quality sponsorship communication items to the satisfaction of sponsors.
  • Effective communications, including reporting, is maintained with all clients.
  • Sponsorship related risks are identified and reported.
  • Work Closely with the SPAD manager to ensure the sponsorship commitments been met.
  1. Strengthening   Accountability (CFMRs) and Community engagement.
  2. Identify sponsorship community needs and participate on Annual budget preparation, concept notes and proposal development. 

 

Accountabilities

Key End Results of Position:

  • Contribute to development and updates of PIS sponsorship strategy and annual plans.
  • Plans and organizes work to meet sponsorship objectives and Plan International commitments.
  • Contributes to sponsorship systems and policies development.
  • Ensure that Sponsorship systems are always in place, updated, secured and maintained as per Sponsorship Manual standards and data entry of corporate systems is always error-free.
  • Ensure sponsorship department and the production of sponsorship communications follow the Sponsorship Manual guidelines. 
  • To regularly update and report the sponsorship situation as required as well as conduct regular SCs/family visits.
  • To monthly prepare and submit the required sponsorship reports and  NOIs analysis to the program, Area and Sponsorship Managers.
  • To monitor the flow of communication (incoming and outgoing) as per the communications schedule, the Child Data and the advance planning.
  • To monthly review and sign the final products of the sponsorship communication as agreed by the management and CPP
  • To ensure the uploading of all C/GMSCs on monthly basis, 100% Quality check and timely submission of all Sponsorship communication/documents sent from Sudan to NOs/SPs
  • Works closely with the Sponsorship Officers and program coordinators to identifying the training needs for volunteers and development of training packages.
  • To participate in training and orientation on sponsorship for staff, volunteers and community.
  • To ensure community leaders, volunteers and CBOs are well inducted on   Child protection and safeguarding policy.
  •  Mobilize and facilitate active participation of children and their communities to participate in planning, monitoring and implementation and evaluation of community development initiatives.
  • Build the capacity of children, families and community to collectively engage local leaders on identified issues.
  • Monitor the wellbeing and child and adolescent girls abuse cases and report any accordance in line with child protection policy and guidelines.
  • Work closely with Child protection coordinator to sensitize children, guardians/parents and other stakeholders about children’s and girls rights and responsibilities with a view to identify child and young girls violations.
  • Participate proactively in the projects, Planning, implementation and monitoring in sponsorship areas.
  • Contribute on implement of capacity building Strategy on community manage Sponsorship (CMS) and CBOs.
  • Provide leadership roles in term of supervise Sponsorship team, mange quality sponsorship communication and enhancing community engagement and accountability. 
  • Any other roles that assigned by direct supervisor.

 

Key relationships

Internal Communication

  • Program Area Manger & Country Sponsorship Manager– High level of communication to report, seek approvals, sharing reports and views to strengthen the Sponsorship quality and to ensure continues support for the sponsorship quality and compliance with Plan policies as well as community engagement and Accountability.
  • Project Mangers/Coordinators and Officers, Daily communication for ensure integration and alignment between sponsorship communication and program in order to achieve all sponsorship KPIs and Plan International Commitments.

 

External Communication

  • Community Leaders/Volunteers and CBOs– high level of communication with CV. And CMS groups in the communities to facilitate the generation and quality of communication and ensure their involvement in projects from the design up to closure.

 
 Minimum Qualification, Skills and Experience Required:

  • Deep knowledge of internal and external sponsorship environment, principles and values.

  • Good skills in dealing with corporate systems ..

 

Communication skills

  • Good command of written and spoken English and Arabic languages.
  • Good skills in spread sheet and word processing computer application
  • Good skills in computer information and communication.
  • Excellent skills in reading, writing, speaking, and listening skills.
  • Strong interpersonal skills to cope up with stress and managing work effectively.

 

Knowledge and expertise

  • The post holder is expected to have considerable knowledge of the national and international instruments related to Community facilitation, Mobilization and children consultation.
  • Understanding the nurture of working with the   corporate systems and Applications.
  • Minimum 3 years demonstrated experience focused on in Leadership and people management,
  • Project management as well as experience in Education or  Child protection sector will be an advantage.
  • Demonstrated ability to work and coordinate effectively with a wide variety of stakeholders, including program team, Community leaders, Community-based organizations and Children
  • Partnering and engaging with stakeholders

 

Essential

  • Master Degree in relevant subject, (Business Administration, Law, Social Sciences or other related fields) or BSC   with an additional 2 years of relevant experience.
  • A high level of written and spoken English and Arabic
  • Excellent communication and Facilitation skills

Physical Environment

  • Must work in busiest environment outside the office with multi stakeholders.
  • Must work outside in an extremely hot and humid climate to perform her/is tasks.
  • Must work under high stresses.
  • Must work off hours after daily working hours when ever requirement arises.

 

Level of contact with children

High level: Frequent interaction with children as key person Provides supervision and coordination to all the sponsorship activities, processes and staff in the program area to sustain good relationship between plan, sponsored families and sponsors.
