Background:
Administration, Fleet and Logistics Coordinator at Zonal Office is responsible to oversee facilities management, fleet movement and provide for logistics support for Zonal Area Response. She/He work closely with Zonal Operation team, HO Administration team and Security department for efficient operation of office, team house, warehouse management in the area.
Duties and responsibilities:
Zonal Facilities Management
Support in sourcing, available, appropriate and secure office and team house facilities in Zonal Office
Lead the committee of office/team house assessment and rental and ensure facilities are as per WV Sudan Standard
Work closely with Operation lead/manager to allocate office/team house space, furniture, telephone, internet and utilities
Ensure Zonal office and Team House has cleaning and maintenance service
Maintain updated list of contact details for WV Sudan Zonal offices, warehouses and staff, government and NGOs and report to HO Administration regularly
Coordinate with Zonal Security Staff and HO Administration, Fleet and Logistics Manager to implement security requirements for office and Team House facilities including: guard services, procedures for office security and asset safekeeping, and equipment (i.e. fire extinguisher, first aid kit
Ensure Team House SoP is adhered by residents and visitors. Report incidents to Zonal Operation Lead, HO Administration and Security Department
Fleet Management
Propose vehicle requirements for Zonal response in consultation with Operations and Programs
Manage vehicles and communication devices allocated for Zonal response area
Manage contract for hired vehicles and make sure service is delivered as per the agreement
Manage and train drivers assigned for Zonal Response Area. And make sure fleet management procedures and security standards are adhered
Plan for ground transportation of IAs, visitors and local staffs in Zonal Response area
Ensure vehicle request, log sheet, maintenance expenses are reported and documents well
Ensure fuel, maintenance and related payments are done timely and expenses are distributed to all projects
Ensure spare engine key are kept safe and do spot check and follow up drivers and authorized personnel is not modified or duplicated & report immediately if at all observed
Ensure incidents are reported within 24 hours of the occurrence to HO Administration and follow up for timely settlement of the claims request
Logistics Management
Negotiate contracts with local (Zonal) vendors of transport, accommodation, and fuel, at Zonal level in collaboration with Supply Chain
Support warehouse management planning (location, layout, storing, tracking, etc.)
Store Non-Food Items (NFI) materials
Implement load, ship set and throughput planning
Conduct warehouse inspections and planned and impromptu stock inspections and audits
Prepare monthly reports on all supplies and inventories
Coordinate with other humanitarian actors (e.g. UN/WFP) for shared storage space e.g. Humanitarian Staging Area
Coordinate with Operations Non Food Items(NFI) and Goods In Kind (GIK) Coordinator regarding distribution of Goods In Kind (GIK)
Maintain inventory records and share with program leads and Operations management
Ensure GIK is effectively tracked and monitored including planned and impromptu stock inspection and audit
Warehouse Management
Guide and work closely with Warehouse Supervisor to ensure a proper and secured storage of the items at warehouse and keep updated scale of monthly inventory report. Also make a periodical check to identify and recommend asset that might be subject to be disposed
To ensure a perfect application of warehouse management system and develop the required work promotion plan from time to time according to operations module.
Asset Management
Ensure fixed asset management system for existing and new fixed assets including asset identification, location identification, physical count, and departmental equipment custodians.
Conduct periodical and annual fixed assets and stock items physical inventories.
Ensure all property have insurance coverage and update the GC roster annually. Register, verify, review and confirm annual global insurance survey in collaboration with Field Admin and logistics officers
Ensure that all rented offices and stores lease agreements are renewed, and upload in REAM on time.
Lead Zonal level disposal committee to review proposed disposal
Conduct and review asset status at Zonal level and propose for disposal
Ensure all donated and sold items are disposed form the system
Payment Process and Documentation
Ensure timely settlement of air ticket, hotels, meeting venues, and other related bills.
Ensure ongoing reconciliation of hotel related bills with vendors and Finance
Ensure ongoing reconciliation of fuel, water, office and team house supplies vendors and finance
Maintain staff list with telephone number, make sure it is updated regularly
Produce monthly MMR and submit to supervisor and HO Administration
People Management
Manages the work of Administration, Fleet and Logistics Officer and oversee that all activities are being handled in efficient and effective manner
Performance appraisals and feedback is given with P&C timeline and documented well
Minimum Qualification, Skills and Experience Required:
Knowledge of property and fixed asset management principles, disposal procedures, contract management, experience in fleet operations management
Excellent communication skill, email correspondence clear and brief

B.A in Logistics & Supplies Management, Management, Business Administration, or related fields.
