 Background:

The World Bank Country Office in Khartoum, Sudan is recruiting an Administration Assistant on a Short-term temporary (STT) basis.  The Administrative Assistant will provide primary assistance the acting the Resource Management analyst with controls, filing, processing of accounting and other administrative transaction documents for the country office.. 



 
 Duties and responsibilities:

Major duties and responsibilities include but are not limited to:

  • Providing primary assistance to the Resource Management Analyst in processing accounting and administrative transactions for the Khartoum country office.
  • Reviewing documentation and compliance before sending transactions for posting, these include purchase orders, Purchase Requisitions, goods receipt, service entry sheets and maintenance of inventory in SAP (including Annual physical inventory count, sending assets to asset management for posting). 
  • Tracking assigned task/such as ordering office stationery supply & coordinate with relevant staff and order the required stationary.
  • Reviewing documentation and compliance before sending STCS/STTs for processing and file documentation. 
  • Handling routine data entry, including check writing, filing of accounting documents in accordance with the units established filing system. Timely follow-up on Trip SOEs, Bank receivables and payables to staff.
  • Handling custody of petty cash and collections. 
  • Ensuring that Drivers maintain proper vehicle fuel and maintenance costs logs
  • Ensuring that other equipment maintenance logs are kept.
  • Tracking the Office expenditure on supplies to ensure proper replenishment and stock management
  • Undertaking ad hoc inquiries in standard and non-standard databases, retrieves and prepare presentations on accounting and administrative data.
  • Ensuring a schedule for effective vendor payments according to Bank policy and to avoid service interruptions.
  • Tracking staff cellphone overages and follow-up on receivables from staff.
  • Reviewing driver overtime and transportation claims in accordance with vehicle logs prior to submission for Managerial approval.
  • Assisting in the preparation and submission of VAT claims, and follow-up.
  • Under the supervision of the EA, providing needed logistical assistance in organizing events inside and outside the Country Office.
  • Updating the units tracking databases (Payments, Petty cash, STC/STTs, Shipments, etc.)
  • Identify and resolve diverse accounting and administrative transactional issues as they arise, often requiring interpretation of procedures and processes; independently determine appropriate application in consultation with the accounting team members.
  • Respond to Audit (Quality Assurance, TF Audit, etc.) request for documentation and queries in coordination with RM Analyst as appropriate.
  • Seek guidance from and escalate issues to RMA in a timely manner, share information and updates on the progress of tasks in a timely manner.
  • Performs other tasks assigned by EA and RM Analyst with respect to the Sudan Country Office program.
  • Obtain necessary go ahead for minor facility maintenance.
  • Follow up on facility bills payment. 
  • Back up for facility focal point.
  • Any other assigned task.

 
 Minimum Qualification, Skills and Experience Required:

  • BSc in accounting or related field with a minimum of 1 years’ experience preferably in accounting. 
  • Strong interpersonal skills; commitment to team-oriented work in a multi-disciplinary matrix management environment. 
  • Demonstrated skills in retrieving/obtaining accounting and administrative information from various Bank sources and pulling them together in a useable format.
  • Sound organizational skills and ability to prioritize and deliver assignments as required and ability to work under pressure and to meet tight deadlines.
  • Strong English and Arabic language skills (verbal and written).
