Muslim Aid is a faith-based British international charity that provides help to people who are victims of natural disasters, conflict or suffering from poverty, hunger, disease and illiteracy. It was established in the United Kingdom in 1985 in response to the drought in the Horn of Africa. Muslim Aid's Sudan Country office (MASCO) was set up in 1991 in response to the strategic need and to enable the continuation of effective aid work in the country. Currently, Muslim Aid is implementing projects in Kassala, Central Darfur and Red Sea State , Algazieera State , Gdarief State in Sudan.

 Background:

The Human Resources (HR) Assistant is responsible for implementing the HR functions in MA program and various other administrative functions under the supervisory of the HR Coordinator. The nominee will ensure that all administration and HR policies and procedures are communicated, implemented and monitored, and compliant with legal requirements, and that MA values are upheld. The HR Assistant will ensure that policies and procedures are fair, transparent and promote equal opportunities. He/She will arrange staff development, trainings, and other efforts, which promote the well-being of staff.



 
 Duties and responsibilities:

  • To assist in issuing offer letters, and any other HR related documents in an appropriate and timely manner. 
  • To ensure that all staff files are kept up to date with all the necessary information and that these are maintained in an orderly and neat manner. This entails confirming that all the staff members have filled all the required forms and those copies of these are maintained in the office. 
  • To maintain the office and field sites’ staff lists ensuring that information on new entrants and exits is reflected on a monthly basis. 
  • To ensure that all payments pertaining to the HR function are photocopied and filed in the appropriate files for easy access to information. 
  • Ensure that all staff members have valid Social insurance numbers and that the staff database is updated with the same. 
  • Assist in the translation of documents if and when required 
  • To assist in the advertisement of existing vacancies in the organization, ensuring that the appropriate network is used. 
  • To ensure that all the CVs received for vacant positions are properly filed and submitted to the concerned parties as well as ensuring that the stated deadlines are complied with. 
  • Ensure that staff members fill accurate leave forms and sickness forms and the necessary parties authorize the same while at the same time maintaining a schedule that shows the leave status at all times for all the national staff members in the office. 
  • Maintain the Human Resources qualifications database and ensure that all the information for all staff members updated and copies of the identified qualifications kept in the staff files for reference. 
  • Maintain the staff Human Resources contract dates database ensuring that the start dates of contracts correspond with the database and that this kept updated at all times. 
  • In liaison with the HR lead, to offer advice on the Muslim Aid UK Sudan National Staff Policies and Procedures to line managers and other staff members ensuring that all Muslim Aid UK staff is conversant with the same. 
  • To provide the monthly payroll information for the Office in liaison with the HR lead, ensuring that all salary advances, unpaid leaves, absence days, new entrants and exits are all incorporated in the payroll. 

 
 Minimum Qualification, Skills and Experience Required:

Qualifications:
  Requires a Bachelor’s degree in Business Administration or related fields/ background.Essential

Experience & knowledge:
 1 to 3 years in Human Resource, INGOs or public Sector.Desirable
Minimum of 1 years of proven experience in HRM as a HR Assistant. Desirable
