Background and Purpose of The AssignmentThe position will report to the Administrative Officer (Fleet Focal Point ) in the Admin unit and the Head of Unit. At this level the job holder is expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holder have a level of expertise and knowledge to adapt and contribute to the development of systems and processes in order to continually improve the level of support provided. The Job holder is expected to manage resources and coach and coordinate a team of support staff. To coordinate and provide high quality, client-focused and value-for-money oriented administration services. KEY ACCOUNTABILITIES (not all-inclusive)
8. Coordinate with external suppliers such as fuel suppliers to ensure consistent fuel supply is provided to WFP 9. Adapt and update administrative processes, supporting the implementation of operating procedures, in order to contribute to the continuous improvement of administration services in the area of responsibility. 10. Follow up and monitor the fuel entries for all locations across Sudan. 11. Answer a range of queries related to the provision of administrative services in order to support the resolution of daily issues. 12. Coordinate the activities of a team of staff working in the area, to ensure individual and team objectives are met in compliance with all relevant regulations, policies, and procedures, and performance plan. 13. Provide training and guidance to staff in interpretation of administrative procedures, policies, processes, and use of corporate systems to ensure consistency and efficiency of services provided to all clients. 14. Any other task as assigned by the supervisor or head of unit. STANDARD MINIMUM QUALIFICATIONSEducation: Completion of secondary school education. A post-secondary certificate in the related functional area. Experience: Five or more years of progressively responsible work experience in general administration . Language: Fluency in both English & Arabic language. DESIRED AT THE END OF THE CONTRACT1. Timely and accurate data entry and analysis. 2. Management of Drivers. 3. Use of WFP systems for proper reporting. 4. Follow procurement processes to ensure replenishment of fuel and other consumables 5.
