  • Make agriculture work better for smallholder farmers, many of them women, so they can adapt to climate change and achieve a good standard of living
  • Help more people harness the transformational effects of clean affordable energy and reduce avoidable deaths caused by smoke from indoor stoves and fires.
  • Make cities in poorer countries cleaner, healthier places to live and work.
  • Build disaster resilience into the lives of people threatened by hazards – reducing the risk of hazards and minimizing their impact on lives and livelihoods.

About the Role:

This position is tasked to provide efficient and effective support to two Departments within the country office.

  • Secretarial and logistical services to the Country Director (40%).
  • Provision of premises facilitation and HR services to the Head of People and Culture (60%).

 Duties and responsibilities:

Accountabilities:

The Administration and Facility Officer will be accountable to deliver the following tasks and activities of Practical Action.

 

Duties and Responsibilities:

Provision of administrative and logistical services to the Country Director (40%).

  • To record and manage CD dairy; appointments, meetings, and conferences and/or any other events the CD should be attending or be involved in.
  • To handle any required logistical support for internal and external movement of the CD; book flights and hotels (national and international) for the CD and handle all relevant efforts with UK and the field offices. 
  • To develop program /schedule for the guests of the CD (national and international).
  • To coordinate and organize the regular Senior Management Team and other relevant meetings; through sending invitation, agenda, and reminders, recoding and disseminating minutes, and preparing materials.
  • To handle all correspondences and files and prepare reports, presentations, letters, notes for file, memos and circulate letters and circulars to all staff, such as policies and procedures.
  • To follow up on the completion of the quarterly BYB with all SMT members.

 

Provision of premises, administrative, Vehicle & generator Management and P&C services to the Head of People and Culture (60%).

  • To supervise cleaners and drivers and maintain their smooth operations.
  • To prepare flight and hotel bookings for national and international staff.
  • To arrange meetings and workshops, such as booking halls, stationeries, catering etc.
  • To stock and distribute office consumables (stationeries, cleaning products and kitchen items).
  • To maintain the running of all utilities of the office (electricity, generator, fuel…etc.).
  • Managing all Practical Action offices rental contracts, initiate all due payments and contracts renewal.
  • To track staff leaves plans and their implementation and ensuring accurate recording. 
  • To prepare and follow-up on contracts of staff and consultants.
  • To update personal files, and issuance of personnel various letters.
  • To coordinate recruitments, pre-screen/shortlist position candidates, notify candidates…etc.
  • To support in health insurance management internally.
  • Vehicles Regulations Guidelines and Regulations.
  • Vehicles papers and Roadworthy valid documents.
  • Vehicles Regular check- repair and maintenance.
  • Vehicle Log sheets and Logbook’s supervision for Registration of millage fuel and maintenance.
  • Fuel Consumptions and Reports.
  • Vehicle Daily movement’s supervision.
  • Supervise Drivers & Cleaners performance and their Daily routine check of each vehicle.
  • Follow up and report on any Accidents occur and traffic violations.
  • Assure that all vehicles are equipped with Fire Extinguisher and safety equipment and communication device and charger.
  • Ensure preventive maintenance instruction.
  • Record keeping of vehicles Files updated and valid.
  • Ensure that Practical action generator is always ready to function and switched when electricity if off.
  • Ensure that generator is filled with fuel and that always there is at lease spare 2 barrels in place.
  • Ensure that generator is regularly checked, and regular repair of Oil-Fuel filters changed on regular basis.

Other:

  • Any other duties commensurate with the level and grade of the role which may from time to time, reasonably be requested by the line manager(s).

 

Internal and External Relationships:

  • The post-holder will report directly to Head of People and Culture. There will also be close collaboration with the rest of the field teams. She/he will also work with Country Office team.

 
 Minimum Qualification, Skills and Experience Required:

Qualifications:

  • Bachelor’s degree in business administration, or another related field.

Knowledge & Experience:

  • At least 3 three years’ experience preferably INGOs.
  • Excellent organizational skills.
  • Excellent English knowledge, both verbal and written.
  • Excellent communication skills, both verbal and written.
  • Excellent computer skill (MS Office, Excel, PowerPoint, email).
  • Excellent Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records

Skills, Abilities and Competencies:

  • Capacity to produce high-quality briefs and reports.
  • Ability to follow deadlines, accuracy, and attention to detail.
  • Ability to meet strict deadlines.
  • Ability to make good decisions

 

Additional Requirements for the Role:

  • Proactive with a high team spirit and ability to work with colleagues at different levels and different locations
  • Gender & culture sensitive.

Practical Action offers a very remunerative wages and compensation package along the yearly contract.
