 Background:

Under the overall supervision of the Head of Office in HA SK/BN and direct supervision of Finance Officer in collaboration with relevant units at Country Office. The successful candidate will be responsible for supporting the Finance and Admin Units, especially in relation to all contractual, accounting and finance matters of the projects.

 

 



 
 Duties and responsibilities:

Finance:

  • Support financial monitoring, reporting and accounting of assigned projects in accordance with the donor requirements, Human Appeal rules and regulations and Standard Operating Procedures, notably in terms of budget implementation.
  • Manage the day-to-day accounts of the assigned projects and contribute to the overall efficient functioning of project’s financial management and accounting system.
  • Assist the project staff in addressing financial and accounting issues related to the implementation of the project activities; escalate and coordinate any complex issues with supervisors.
  • Extract and input data from various sources in financial or accounting systems.
  • Respond to accounting, budget or financial queries regarding the project data.
  • Review all types of payments starting from purchase to payment requests verifying that they are duly authorized, and all the supporting documents are attached therewith.
  • Perform claim verifications against documentation to ensure that purchases/services are properly authorized and that the goods have been received or services rendered.
  • Prepare necessary receipt and journal vouchers.
  • Assist in the preparation of budget, accounting, financial, statistical and other reports as required.
  • Provide assistance to all staff services such as travel, expense claims, document retrieval, etc.
  • Ensure proper and systematic filling of all posted payments and other accounting documents according to the established standards.

Admin:

  • Reviews procurement requests and initiates procurement procedures for project equipment, supplies and services in a transparent and cost-effective manner.
  • Contributes to the smooth running of the office by ensuring the provision and maintenance of services and supplies.
  • Maintains up-to-date inventory records, staff attendance records, vehicle logbooks, etc.
  • Assist on supervision of cleaning and up keeping works in the office premises; and Expatriates residence premises, and maintenance work of Office equipment, furniture, etc
  • Utilities:  Assist on ensuring stable provision of water and electricity, sewage service, garbage collection service, and drinking water.
  • Safety & Security Matters:  Assist on supervision of usage and replenishment of the First Aid Kits and fire Extinguishers
  • Directly supervises all drivers, security guards and cleaners as well as other support staff.

Performs other duties as required

 


 
 Minimum Qualification, Skills and Experience Required:

Education

  • High School diploma with four years of relevant experience; or,
  • Bachelor’s degree in Business Administration, Accounting, Finances, or related fields with two years of relevant professional experience.

Experience:

  • Prior experience in accounting, financial management and donor financial reporting with community based or international organizations;
  • Proficient in Microsoft Office applications e.g. Word, Excel, PowerPoint, E-mail, Outlook; previous experience in SAP is a distinct advantage;
  • Attention to detail, ability to organize paperwork in a methodical way;
  • Discreet, details and clients-oriented, patient and willingness to learn new things; and,
  • Prior work experience with international humanitarian organizations, non-government or government institutions/organization in a multi-cultural setting is an advantage.

Skills:

  • Familiarity with financial and business administration;
  • Team-work oriented but with a capacity to work independently
  • Good writing and communication skills;
  • Strong organizational and time management skills;
  • Ability to work effectively in a multi-cultural environment.
