Program Support Assistant

 Background:

DT Global (DTG) is an implementing partner for USAID Project – Toward Enduring Peace in Sudan (TEPS).



 
 Duties and responsibilities:

Under this position responsibilities include:

 

  • Draft purchase requests for all goods and services necessary to implement TEPS activities
  • Verify the accuracy of financial documentations received, including math check, legibility and project relation
  • Code all disbursements by account type using the “Chart of Accounts”
  • Ensure financial disbursements are supported by compliant receipts.  If receipts are not in English, ensuring a clear written English description appears on each receipt
  • Assist in manage all fund disbursements using  pre-numbered Operating Cash Receipts
  • Maintain Operating Cash Log
  • Ensure adequate level of funding in field office cash and bank account
  • Verify that all timesheets are filled out correctly, signed by employee and approved by the RPM, the COP or designee
  • Assist in manage all local human resource issues with regard to national staff, including interpreting and explaining Personnel Rules, transaction and payroll procedures, contracts, and personnel related policies and procedures in adherence to Government of Sudan Labor Office and DT Global Sudan policies and procedures
  • Support good working relationships with local authorities, and ensure compliance with laws and regulations governing the work of the organization and its grantees
  • Ensure that all goods procured are within the actual approved budget lines/procurement databases. Any discrepancies to the budget shall be addressed with the RPM or Chief of Party immediately
  • Ensure damaged or incorrect materials and equipment are properly documented, certified, and claimed or returned
  • Ensure all equipment is in proper working order prior to delivery to grantee/signing the “goods received” document
  • Provide weekly reports and physical inventory of stored items awaiting movement to the Procurement and Logistics Specialist or designee
  • Providing occasional translation services (Arabic/English)
  • Assist DT Global Senior management to engage with appropriate representatives of South Kordofan State with respect to the functional establishment of DT Global- Sudan
  • Assist DT Global Senior management to engage with potential and actual service providers, vendors and subcontractors related to the functional establishment of DT Global-  Sudan
  • Assist in develop monthly progress report due on the 25th day of the month that report on all aspects of the assignment, noting achievements, constraints, and specific plans for the next month.

 
 Minimum Qualification, Skills and Experience Required:

  • BA/BS in international development, sociology, law, social or political science, statistics or a related field of study
  • Experience in qualitative and quantitative data collection methods
  • Competences in using computer packages including Word and Excel
  • Willingness and ability to travel throughout Sudan
  • Ability to work effectively within a team and individually
  • Excellent time management and organizational skills and great attention to detail
  • Proficiency in written and spoken English
