Grants Manager

 Background:

DT Global (DTG) is an implementing partner for USAID Project – Toward Enduring Peace in Sudan (TEPS).



 
 Duties and responsibilities:

The Grants Manager will serve as a Khartoum-based staff member responsible for assisting with the management of DT Global's grant portfolio, documentation, finances, and administrative procedures as directed by the DCOP. Responsibilities include, but are not limited to the following:

  • Support DCOP in managing TEPS GUC budget, grants, grants ideas and conducting GRC meetings;
  • Supporting the DCOP and Regional Team leaders in the implementation of grants, including liaise with grantees, keep the GUC unit up to date on the conducting of local procurements, assisting in material delivery and handover, and providing proper documentation;
  • Advise the Regional Team leaders and operational staff on practical solutions to maximize the smooth implementation of grant activities and their cost and time efficiency;
  • Produce accurate grant pipeline report on a weekly basis, upload and share with the RTl's and respond to any questions that may arise;
  • Produce grant documentation and coordinating its approval and signature with the DCOP/COP, and relevant RTLs
  • Maintain grant documentation on TEPS online System (GMS, OneSource and shared drive)
  • Perform periodic audits of grant files to ensure accuracy, completeness, consistency, and the timely collection of necessary information
  •   Assist Regional Team Leaders with grant close-out procedures to its completion
  • Work with the Monitoring and Information Officer, Program Officer, and Regional Team Leaders to collect information on activity progress and metrics. This should include, but is not limited to, participation in monitoring and providing input of ongoing activities and reviews of evaluation materials from completed activities
  • Ensure that the goods and services procured and contracted are within the approved grant budget and alert the concerned Regional Team Leaders in advance on the expenses and any other unlikely expenses. Any discrepancies to the budget shall be addressed immediately with the concerned Regional Team Leaders or DCOP
  • Provide occasional translation services (Arabic/English) when reports are submitted in Arabic language
  • Work with Finance Department, Procurement and Regional Team Leaders to review and track grant budgets and contractor payment schedules, as assigned, and make appropriate action to ensure that the information is shared with concerned staff
  • Ensure that Fixed Obligation contracts are tracked as per milestones reported while updating other grant and contract trackers as assigned; share the Fixed Obligation status on a biweekly basis
  • filter grant Ideas in coordination with Area Experts and Regional Team Leaders and propose to the DCOP accepted and not accepted ideas along with justifications

 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor’s degree in Business Administration, development, sociology, law, social or political science, or other development-related field required. Master’s degree preferred.
  • Minimum five (5) to ten (10) years of experience in recovery and / or developmental program implementation in Sudan/South Sudan.
  • A minimum of 2 years of experience USAID funded project management experience preferred including grant making experience
  • Excellent organizational and crisis management skills and the ability to interact effectively with international and national personnel
  • Demonstrated capacity to develop work plans and budgets, negotiate contracts, take quick and relevant decisions
  • Demonstrated oral and written fluency in Arabic and English is required; a written and oral test will be administered to assess English capabilities
  • Demonstrated computer literacy, particularly in Microsoft Office, including Access and Excel, and web-based information management tools required
