Grants Specialist

 Background:

DT Global (DTG) is an implementing partner for USAID Project – Toward Enduring Peace in Sudan (TEPS).



 
 Duties and responsibilities:

The Grants Specialist will be based in Khartoum with regular travel to other field sites throughout Sudan. S/he will be the focal point in his or her area of Operations, to ensure that the implementation of the grants be carried out in accordance with the specifications defined in the activity development phase. In the discharge of her/his tasks, s/he will maintain open and professional relationships with authorities, community groups, NGO’s and other international organizations.

  • Support the Grants Manager and Regional Team Leaders in the grants development phase, and ensure that the activities proposed and budgets required are realistic and implementable.
  • Responsible for updating the grants database with all necessary data input for all phases of grant implementation.
  • Generating CSVs and providing documentation for grant approval requests to USAID.
  • Generating reports and pulling full & accurate information from the grants database for the purposes of reporting for USAID, TEPS, or other stakeholders and deliverables.
  • Work with the grantees to ensure that all permits and/or authorizations that may be necessary to implement the activity are obtained as quickly as possible
  • Assist the grantees in working out a grant implementation schedule and help them, whenever necessary to draft all reports required by the donor organization.
  • Draft cash advance requests to the Finance Team for liquid funds necessary to implement the activity
  • In coordination with the Procurement Manager, analyze bids for goods and services submitted by local suppliers
  • Assist the HR Manager in hiring any technical expertise and/or organizing any community labor or other in-kind contribution that may be necessary to implement the activity
  • Monitor the implementation of all small grants and reporting according to the Grants Manager in a timely manner.
  • Follow-up with grantees to acquire receipts and/or acquittals for all in-kind goods and services delivered to the grantee for the implementation of the activity
  • Ensure timely and efficient payment of local suppliers and community labor, in coordination with the finance department
  • Track all in country and external payments against the grant budgets
  • Support the POs and RTLs to maintain accurate grant files.

 
 Minimum Qualification, Skills and Experience Required:

  • Diploma or Bachelor’s Degree in a related field
  •  2 years experience in recovery and / or developmental program implementation in Sudan/South Sudan
  • Preferred  a minimum of 1 year  with USAID  funded project management experience preferably including  grant making experience;
  • Skilled in financial management, budgeting, financial reporting, and procurement processes
  • Proficiency with Word and Excel software
  • Strong interpersonal skills, ability to work independently and in a team
  • Strong organization and prioritization skills, and attention to detail
  • English oral and written fluency
