Muslim Aid is a faith-based British international charity that provides help to people who are victims of natural disasters, conflict or suffering from poverty, hunger, disease and illiteracy. It was established in the United Kingdom in 1985 in response to the drought in the Horn of Africa. Muslim Aid's Sudan Country office (MASCO) was set up in 1991 in response to the strategic need and to enable the continuation of effective aid work in the country. Currently, Muslim Aid is implementing projects in Kassala, Central Darfur and Red Sea State , Algazieera State , Gdarief State in Sudan.


 Salary Range: 600 up to 700 USD
 Responsible for: Logistics Officers (Khartoum and Field).
 Supervisor: Head of Operations
 No. of Post: 1
 Duty Station: Khartoum State with up to 50% Field Travel.
 Duration: Fixed Term, 12 months with possibility of extension.

 Duties and responsibilities:

Summary of the role:

Muslim Aid-UK is seeking to recruit a suitable qualified Sudanese national for the position of Senior Procurement Officer based in Khartoum State with field travel

The Senior Procurement Officer is responsible for overseeing procurement aspects of Muslim Aid program operation. Working closely with Program, Finance and Operations is instrumental in supporting program activities through his/her services. The job holder will be expected to be committed to implementing and maintaining the highest standards of efficiency and integrity in the purchase of goods and services.

 

About the Role:

The main responsibilities of this role will be to:

  • Responsible to develop/maintain strong coordination among the team to conduct Muslim Aid' procurement activities in an effective and efficient manner, and in compliance with donor regulations, with special emphasis on transparent practices and Muslim Aid code of ethics.
  • Has a full understanding of Muslim Aid procurement policies and procedures; Assists, as needed in training staff on these policies; Provides coaching and mentoring to the direct reports on a day to day basis.
  • Responsible to assist Program and operational personnel in regular procurement planning meetings.
  • Responsible to assists staff as needed on creating clear and understandable purchase requests and other documentation for effective audit trail;
  • Ensures transparency in collecting quotations and bids for all purchases as per Muslim Aid standards;
  • Possesses good working knowledge of Contract management and is responsible for Contract drafting, in compliance with Muslim Aid' policies as well as donor's regulations;
  • Interact with contractors, in coordination with the Head of Operations as and when required;
  • Ensures that the required documentation of supplies and transactions are completed to Muslim Aid standards and formats;
  • Responsible to maintain procurement databases for both Field and Country Offices and share reports with Head of Operations on monthly basis and with other departments as and when required;
  • Responsible to ensure that procurement files are maintained as outlined in the Muslim Aid procurement policy;
  • Support finance to facilitate the timely payment of vendor invoices with appropriate supporting documents.
  • Set re-order levels of stock items and support producing of stock usage reports, coordinate sourcing strategies and development of supply base.
  • Senior Procurement Officer will conduct himself/herself both professionally and personally in such a manner as to bring credit to Muslim Aid and to not jeopardize its humanitarian mission.
     

Supply Chain

  • Contribute to the implementation of procedures for warehouse operations that are compliant with MA general instructions, policies and donor requirements.
  • Other duties as assigned by the supervisor

 
 Minimum Qualification, Skills and Experience Required:

To be successful in this role:

  • A degree in Logistics, Procurement, Business Administration or a related field from a recognized institution with at least 5 years of relevant professional experience; equivalent years’ experience can be accepted in compensation should MA Management consider them acceptable.
  • At least 3 years’ experience in Logistics/Procurement preferably with INGOs.
  • Working knowledge of both English and Arabic is required (both written and spoken).
  • Excellent computer skills and competence with Microsoft Office environment.
  • Good conceptual, presentation and communication skills.
  • Excellent team working skills.
  • Willingness to travel in the project areas as required.
  • Demonstrable willingness to learn and resourceful attitude.
  • Must be a Sudanese National.
