 Background:

The post holder needs to play a greater role in equipment standardization, setting up SOPs based on best practices, introduce a competitive bargain in logistics service providers, introduction of ICT equipment for vehicle management, tracking, a robust analysis of fleet management, fixed asset management in relation to vehicles, replacement planning, all administration works, seeking cost effectiveness and value for money.

Also the Senior Administrative Officer position will contribute and support successful implementation of the programs in CARE International Sudan through provision of effective and efficient program support services. The Administrative Sr. Officer will be responsible for the management and oversight of the Logistics function in CARE International CO and, that includes the vehicles management and movement control for the main role of CARE Staff accomplishments of assignments as well as to arrange for the travel of CARE staff inside and outside the Country smoothly. The Logistics Manager is responsible to ensure all CO office staff comply with all Policies, guidelines and Standard Operating Procedures. The Administrative Sr. Officer will support the logistic in all field offices of CARE Sudan whenever needed

 



 
 Duties and responsibilities:

  • Oversees and administers the day-to-day activities of the office; develops policies, procedures, and systems which ensure productive and efficient office operation
  •  Supervises the work of employees in supporting roles, including assigning workload and monitoring employee performance.
  • Oversees and facilitates resources management and administration procedures and documentation
  • Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions on operational matters concerning the Office.
  • Provides and/or oversees provision of staff support to the office,
  • Responsible for office management from flowing up with the office rent, maintenance , electricity, and any other day to day needs as they arise
  • Make regular assessments to vehicles and drivers and recommend actions, including suspension.
  • Coordinates the drafting of annual logistic plans of the Country Office and reports about progress.
  • Proposes fleet measures (additions and subtractions) by lease/rental as well as purchasing and advises about overhaul and/or retirement of vehicles.
  • Review the vehicle weekly/monthly logbook trips, monitors utilization, maintenance and fuel consumption and carry out monthly fuel and maintenance spend analysis (produce monthly analysis report).
  • Take measures to safeguard the CARE Sudan fleet
  • Develop or review CARE Sudan fleet management policy and ensure compliance by all staff.
  • Booking for staff & guest is done in the appropriate location following with Safety and security advice.
  • Manage Office Logistics related budgets and ensure proper spending at all times considering value for money

 


 
 Minimum Qualification, Skills and Experience Required:

· BSc in , Administration, Economics or Accounting  or relevant field. Master degree is preferable.

· At least 7 years’ experience in a similar role with demonstrated experience in the administration and logistic.

· Ability to work effectively both independently and as part of a team.

· Good interpersonal skills with ability to motivate and influence others.

· Ready to acquire new skills and to learn.

· Ability to work under pressure and meet deadlines consistently.

· Proactive in  Problem solving

· Highly organized, close attention to detail, and ability to effectively prioritize tasks in a fluid environment

· Excellent communication skills in both Arabic and English (written, spoken)

· Computer skills and practice with Word, Excel, Outlook, etc. are essential

· Team-working skills; ability to communicate effectively in internal and external settings and provide leadership in team efforts and build effective relations remotely

· Be able to communicate effectively across CARE Sudan’s management structures.

· Ability to work with people of various cultures

· Strong in networking, representation and building relations
