 Duty Station: Khartoum with field visit to other ACH Bases in Sudan.

 Background:

Action Against Hunger is a global humanitarian organization which originated in France and is committed to ending world hunger. The organization helps malnourished children and provides communities with access to safe water and sustainable solutions to hunger.

 



 
 Duties and responsibilities:

GENERAL OBJECTIVES

  • The capital logistician is overall responsible for all logistics activities in the capital and or/ field (procurement, fleet, storage, equipment’s, premises) and actively contributes to the security management (analysis and operational implementation).
  • The  logistician is responsible for all related procurements strictly following donors’ and Kit log guidelines. In addition, the logistician will closely supervise/update the entire equipment list, supervise vehicle fleet and office maintenance in order to ensure an efficient response to all programmes. Lastly, the logistician will monitor and report any incident related to security within the Country Office.

Objective 1: Supply Chain

  • Directly responsible for the procurement of all items for the office and projects.
  • Oversees all tasks related to the procurement process such as quotation requests, suppliers’ visits, arrangement of delivery/confirmation, satisfactory quality/payment, price monitoring etc.
  • Ensure ACF procurement procedures and donor requirements are respected
  • Verify all procurement documentation (quotation requests, summary table, purchase orders, contracts.
  • Liaise with technical departments for procurement meetings, technical validations, Project Procurement Plans must be up to date for every project.
  • Organize and archive documentation for purchases following internal procedures according to Action Against Hunger Kit Log.
  • Ensure accountability, transparency and due diligence as per ACF Principles and Code of Conduct/Code of ethics.
  • Follow up of orders in a timely manner.

Objective 2:  Vehicle fleet management.

  • Supervise the daily and weekly movement planning according to project’s requests.
  • Ensure full compliance of ACF security rules for drivers (seatbelt use, speed limits, daily reporting, etc.).
  • Supervision of vehicle movements within the country.
  • Ensure the maintenance and fuel consumption of vehicles is monitored in accordance with Kit Log (logbook, fuel usage etc.)
  • Ensure the proper follow-up of administrative tasks for the  fleet (rental contracts, insurance, and permits).

Objective 3: Equipment management & office maintenance

  • Ensure the proper labelling and use, the optimal state, proper maintenance, storage and repair for equipment (computers, printers, photocopy machines etc).
  • Ensure the  Equipment list is up to date.
  • Manage and control the stock of office stationery supplies.
  • Supervise allocation and adequate use of equipment for all users by filling up the material loan form.

Objective 4: Administration

  • Ensure that all ACH staff has applied and obtained on time entry or exit Sudan visas, stay, travel or working permits/Residency in the mission according to needs
  • Stays updated and informed about any change in the procedures to follow in order to obtain any visa, stay, travel permit or working permits.
  • Maintain the coordination on ongoing processes, specific situations or changes in the procedures

Objective 5: Additional responsibility:

  • Ensure team spirit and motivation within ACH team
  • Travel in a regular basis to the different mission bases
  • Any other Logistic and administrative duties assigned by the CD.
  • Fulfil any duties that are inherent to the position and requested according to mission needs and context.

 
 Minimum Qualification, Skills and Experience Required:

Qualification and technical specific knowledge

  • Graduate in Logistic, Engineering or any other similar field related to the job.
  • Desirable ACH proceedures and KIT Log V3.

 

Previous Experience

  • Minimum 3 years previous experience in the field of logistic in humanitarian sector with an international INGOs or UN and stock management would be an asset and at least 1 years experiences in liaison work.
  • Good background about the prepration of budget and financial reports.

 

Personal requirement:

  • Professional and transpearant, team spirits and good communication skill, organize and rigorous, ability to quickly integrated and working environment.
  • Proved team-work experience and of coordination of staff under its supervision.

 

Language Skill:

  • Good written and spoken on communication skill in both English and Arabic

 

Computer skill:

  • MS Office very strong command. Advanced level of Excel.
