 Background:

Job Summary:

The Warehouse officer works under the supervision of the Logistics Officer



 
 Duties and responsibilities:

  1. Responsible for receipt of items purchased or donated items received by the IMC at the site.
  1. Responsible for keeping accurate records of all items entering and leaving the warehouse and uses the appropriate documents (GIO / GRN / Waybills / Stock cards) and request signature to the appropriate staff. Is accountable for any item which went through is warehouse and should be able to provide any appropriate documentation. Ensure all GIOs/GRNs/Waybills are issues with reference numbers.
  1. Responsible for receiving, storing and donations. Donations are tracked separately from regular items as per the donation procedure. Enters donation reference of GIOs/ GRN, Waybills. Open separate file for donations. Completed donation forms/ reports and submits them to the logistics reporting officer before the end of the month.
  1. Responsible for safe, proper storage and organization of the warehouse- as per IMC guidelines and procedures.
  1. Warehouse Inspections:
  • Conduct quarterly warehouse inspection and works on improving the gaps identified. Collects all the required evidence of compliance and submits them to the logistics office.
  1. Reporting:
  • update electronic warehouse report on a weekly basis and ensure that the report is accurate to dissemination before the end of each month. The GIO reference numbers.
  • Prepares monthly stock report and submit to Logistic Officer for review and further submission and adapts the new warehousing related reports.
  • Coordinate with the respective staffs for taking warehouse items checks, inspection check list...etc.
  1. Asset tracking:
  • Any asset purchased / sent / received should go through the warehouse officer before being released to the site asset custodian. He should keep record of the transactions on the appropriate documents. Should be able to justify any transaction
  • Fixed items inventory:
    • Ensures all furniture items are tagged upon receipt and tag number are included on the GRN.
    • Ensures all furniture items are released from store are tagged(not tag no release)

 

  • Assets/ equipment of furniture for repair / site-Receives the assets broken from his field sites/ clinics. Enters them in warehouse. Contacts the employee responsible for the supervision of the repairs. Hands over the asset to him. Once repair is done, collects the item and issues it to the final destination. Items not reparable on site à to send to another site; Issues the transport documents (Waybills, packing lists). Keeps tracking of the item until return.
  1. Inventories:
  • Responsible for the management of the entire inventory and applies proper procedures to avoid item from expiry, damage, weather – eg FEFO, stock rotation, proper stacking, checking of expiry dates, temperature monitoring and control.
  • Conducts monthly, quarterly and annual inventories of all items, going through the warehouse as per the guidelines.
  • Conducts Random physical count reports, also referred to as „Spot Check control“ on a monthly basis. The responsible warehouse must undertake a random physical inventory independently, recorded on the „Spot check control “document.

 

  • Conduct mandatory full physical count for each warehouse once per year at the end of the calendar year (or more frequently on management request).
  1. Shipping:
  • Prepares the shipments and fills out the transportation documents (Waybills, packing lists)
  • Is responsible to collect the shipping documents when the transportation is done. Should track the waybills until they are back.

 

  1. Orders / rupture:
  • Should be able to anticipate any stock rupture and inform his supervisor before it happens.
  • Analyses the consumption of the items in stock and is able to issue a monthly order based on these consumptions.

 

  1. Generalities:
  • Makes sure the warehouse is clean at all times.
  • Monitors and logs temperature on a daily basis
  • Makes sure safety items are available in the warehouse in case of emergency (fire extinguishers…).
  • Ensure stores are locked at all times.
  • Proceeds to a half year cleaning. In that case, all items are removed from the warehouse. Floors and walls cleaned with chlorine and if possible deltametrine.
  • Ensures correct ventilation of the warehouse.
  • Ensures circulation between items.
  • Warehouse key always carried by the warehouse officer while the spare is kept in safe box.
  • Food items should be store adequately.
  • Partition of the warehouse should be effective. Food items, non food items...i.e. items are stored per categories.
  • Ensure warehouse log book is in place and all staffs interring the warehouse are recorded.
  • Make sure that items in sample room/shelf are well kept and recorded.
  • Make sure that sample logbook is in place and kept updated. 
  • Assist clinic dispensers with the preparation of medical requests.
  • Assist the medical coordinator in supervision and monitoring of clinic drugs consumption
  • Monitor the expiry dates of all medical supplies
  • Implement any task and duty requested by his direct supervisor.

 
 Minimum Qualification, Skills and Experience Required:

  • Diploma or university level of education in Public health, nursing  or medical sciences
  • Must be able to read, write and speak English, Arabic and local language
  • Must be computer literate and proficient in Microsoft word and Excel
  • Previous experience in handling of medical supplies will be an added advantage.
  • Willing to work in a multi cultural community, work long hours and
