World Vision Khartoum seeking to recruit qualified (File Management Assistant) based in Khartoum.

 

PURPOSE OF POSITION

File Management Officer will keep financial files and documents organized for World Vision Sudan. File Management Officer will work with both paper documents and electronic files, and do routine tasks like data entry, organization, cross-referencing, scanning, copying and retrieval

 



 
 Duties and responsibilities:

  • Receive files from field office, organize them and keep them in proper filing order Make label for all box files per months & locations and voucher’s type
  • Checking the completeness of the vouchers documentation with consult of senior finance officer to ensure proper audit’s requirements are met as per WV GC policies
  • Perform periodic inspections of materials or files in order to ensure correct placement, legibility, and proper condition.
  • Digitalize all hard documents and make it available to upon audit request by SO & Donors
  • Find and retrieve information from files in response to requests from authorized users.
  • Search files, databases or reference materials to obtain needed information. Provide information to co-workers. Other duties assigned by supervisors

 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor’s degree in Accounting/Finance& Economy & Business Administration required
  • Demonstrated high proficiency levels of computerized accounting systems preferably MS Office
  • Office management experiences not a prerequisite.
  • Ability to present information clearly and concisely in writing or verbally, with excellent written and spoken English
  • Ability to create and maintain administrative systems.
  • Able to prioritize own and others work to tight work deadlines.

Additional work experience

  • Proactive with a positive outlook and willingness to embrace change
  • Ability to work using own initiative, but knowing when to consult.
  • Include travel & work environment details.
