 Background:

The officer is reporting to the Project Manager of the vocational training and food security for refugees and host communities project in Eastern Sudan.

On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and the Delegation of the European Union, GIZ started the implementation of a new project recentlyin Kassala and Gedaref. The project aims at improving the livelihoods of the local population and refugees alike in two areas of intervention:

  1. Supporting the government and the private sector in improving the quality and availability of market-oriented vocational training for young women and men;
  2. Supporting small industry unions in providing business development services (BDS) for employment-oriented growth of small and medium-sized enterprises.

 



 
 Duties and responsibilities:

 

Tasks and responsibilities:

 

A.  Responsibilities

  • Supporting consultants before arrival to Sudan.
  • Liaise with:
  • GIZ Country Office regarding visa and travel permits
  • GIZ Country Office regarding clearing of international shipments
  • GIZ Risk Management providing all requested information (SOP1, SOP2)
  • Maintaining an overview on presence, absence lists for  staff and consultants and submitting these to Security and Risk Management in Khartoum

 

B.  Tasks

1.Logistics

 

  1.  Visas and travel permits

 

  • Supporting consultants before arrival to Sudan – advising them of what documentation to complete and submit to Security and Risk Management for visa and travel permit processing.
  • Maintaining a database of all upcoming and resident consultants for VTC, clearly monitoring and advising on visa expiry and travel permits.
  • Maintaining a database of all international and regional staff at the VTC, and monitoring their visa and travel permits.
  • Liasing with the GIZ Country Office on timely renewal of the same.
  • Prepares, submits and makes follow-ups on visa applications upon request from GIZ staff.
  • Prepares, submits and makes follow- ups on travel permits applications for each mission.

 

  1. Clearing of International shipments
  • Liasing with GIZ Country Office regarding clearing of international shipments
  • Tracking of all VTC international shipments and maintaining a monitoring tool on the stages of shipment and clearance until delivery to the VTC in Gedaref.
  • Liasing with GIZ Office on the regular customs overview and making sure correct documents are submitted to the relevant ministries in a timely manner.
  • Providing regular and systematic   updates to the Project Manager on progress for each stage of shipment, clearance and delivery.

 

1.3 Administration

  • Liasing with GIZ Risk Management and providing all requested information (SOP1, SOP2)
  • Keeping track for all staff duty trips, both local and abroad, and completing the relevant SOP for timely submission to Security and Risk Management.
  • Maintaining an overview on presence, and absences lists for staff and consultants and submitting these to Security and Risk Management in Khartoum on scheduled dates.
  • Updating the phone cascade for circulation to staff and submission to SRM in Khartoum.

  1. Required Qualifications, competences and experience:

 

Qualifications

  • BA in business administrationor equivalent.

Professional experience

  • At least 3 years’ professional experience in a comparableposition

Other Knowledge, additional competences

  • Outstanding knowledge of customs clearing procedures
  • Knowledge of visa and travel permit requirements
  • Very good working knowledge of ITC technologies (related software, phone, fax, email,the internet) and computer applications (e.g. MSOffice)
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed withmanagement
  • Fluent written and oral knowledge of Arabic andEnglish
  • Very goodcommunicationskills

 

5.    Other duties/additional tasks

 

  • Performs other duties and tasks at the request of management

 
 Minimum Qualification, Skills and Experience Required:

Qualifications

  • At least BA in (business) administration or similar area
  • Very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Good management and organizational skills
  • Good communication skills 
  • Willingness to up skill as required by the tasks to be performed – corresponding measures are agreed with management
  • Confidential and trustful handling of data and information
  • Highly service oriented
  • Fluent written and oral knowledge of Arabic and English, German is an asset  

 

E.         Professional experience

  • At least 3 years’ professional experience in a comparable position
