 Background:

The GIZ Project Office in Gedaref is looking for a qualified person to fill the following position:

Junior Advisor to the Technical Team Leader will be stationed in Gedaref with regular duty trips to Kassala or other States in Sudan, if required.



 
 Duties and responsibilities:

Responsibilities

The Junior Advisor to the Technical Team Leader is responsible for:

  • ensuring smooth administrative processes related to technical team activities
  • supporting the Technical Team Leader in reaching its organizational and strategic objectives
  • ensuring a smooth communication flow, coordinating and managing appointments

 

The Junior Advisor to the Technical Team Leader performs the following tasks:

Tasks

  1. Secretarial and administrative work and services
  • organises and prepares technical team meetings
  • reminds, updates and notifies technical team members of upcoming appointments
  • prepares and organises information materials for the technical team
  • manages incoming and outgoing correspondence (telephone, post, fax, email), prioritises and organises it
  • prepares documents as needed
  • participates in internal and external (team) meetings and workshops and assists with documenting and preparing these, e.g. by taking minutes, organising logistics etc.
  • supports travel management for technical team members
  • follows up incoming and outgoing visits of international and national consultants
  • takes care of international and national consultants during their stay in Gedaref or Kassala
  • communicates and coordinates with general administration, procurement and fleet organization

 

  1. Coordination, management and general coordination
  • coordinates and monitors schedule and ensures agreed blocks of time are kept clear for planned events relating to the GIZ office
  • supports the technical team Leader in event management coordinates equipment, stationaries and etc. required for meetings with external and internal partners
  • supporting new staff in familiarizing with the work of the technical team
  • regularly prepares a list of events and updates technical team accordingly
  • liaise with project communication department for events prepared by the technical team

 

  1. Administration
  • assists in creating and maintaining a filing system for the technical team, treats information confidentially, specifically in the areas of personnel, contracting, and finance updates the filing system daily with incoming and outgoing correspondence.

 

4.Other duties/additional tasks

  • performs other duties and tasks at the request of management
  • interprets and translates as required
  • welcomes and communicates with technical team guests in a professional and friendly manner

 
 Minimum Qualification, Skills and Experience Required:

Qualifications

  • At least BA in (business) administration, legal background or similar area

Professional experience

  • At least 5 years’ professional experience in a comparable position

Other knowledge, additional competences

  • very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office, Excel)
  • good management and organisational skills
  • good communication skills
  • willingness to upskill as required by the tasks to be performed –corresponding measures are agreed with management
  • confidential and trustful handling of data and information
  • highly service oriented
  • fluent written and oral knowledge of Arabic and English
