ORGANIZATIONAL CONTEXT

These jobs are found in Country Offices (COs), Regional Bureaux (RBs), and Headquarters (HQ). Job holders performing front office management functions typically report to the Division Director or Country Directors. In cases where these positions support a specific business stream, the reporting line may be to the Head of Unit or Chief.
At this level job holders are expected to demonstrate responsibility and initiative to respond independently to queries with only general guidance. They have responsibility for undertaking specialised business support work, such as organisation and coordination of work. There is a requirement to use judgment in dealing with unforeseen problems on a daily basis. Job holders are expected to manage resources, and coach and/or coordinate a team of support staff.

JOB PURPOSE

To coordinate and control a full range of business support services for a specific professional area of work, to ensure that services are delivered effectively.  

KEY ACCOUNTABILITIES (not all-inclusive)

Under  the direct supervision of  the Compliance Officer the Business Support Associate will perform the following tasks:

 

  • Provide dedicated executive assistant support.
  • Prepare and/or consolidate comprehensive reports, documentation, correspondence, briefing notes, etc.  This includes consolidating inputs from all units and area offices inputs for purposes of creating Country Office (CO) Annual Performance Plan (APP), Country Office Risk Review, Country Office Self-Assessment Checklist on Internal Controls and Country Office Letter of representation.
  • Conduct research on WFP corporate systems or consulting the technical units at the Country Office and Regional Bureau (RB) regarding various ad hoc rules/regulations/directives, etc.
  • Actively seek and use feedback to improve business processes and procedures.
  • Respond to complex business support queries in order to provide a timely and accurate resolution of enquiries for client units/ area offices. For example, support may be provided with regards to APP performance indicators, or how to download various reports from corporate databases.
  • Oversee the maintenance of records and databases to ensure information is organized and readily available for staff. This will include the online data warehouse hosting the APP and risk register, and the archives of CO Standard Operating Procedures.
  • Revise and review correspondence and documentation, providing feedback and making amendments where appropriate, to contribute to production of these materials to time and quality standards.
  • Assess and recommend improvements to procedures and practices, to contribute to the effective delivery of business support services.
  • Provide a full range of complex business support services to staff to contribute to the effective functioning of key internal controls. This may include verifying, consolidating and triangulating data of various sources, and extracting reports from corporate databases, under the guidance of the head of unit.
  • Assist the head of unit in the organization of key organizational events such as the Annual Performance Plan (APP) meetings in December and June every year and other meetings and teleconferences and also plan mission travels planning of missions;

STANDARD MINIMUM QUALIFICATIONS

Education: Completion of secondary school education. A post-secondary certificate in related functional area.


Experience: Five or more years of progressively responsible work experience in related business stream .

 

Language : Fluency  in both  English  & Arabic language.

DESIRABLE EXPERIENCES & SPECIFIC JOB REQUIREMENTS

 

  • Specialised knowledge of the application of common business processes, practical business support methods, procedures and systems gained through technical training and work experience.
  • Good communication skills in order to provide specialised business support services .
  • Ability to analyse, interpret and monitor financial and in-kind commodity data.
  • Ability to proactively identify and recommend areas for improvement to the design and delivery of business processes/ internal controls
  • Ability to build relationships with a variety of individuals across functions.
  • Experience in consolidating the work of others and providing technical support.
  • Training or experience in fraud risk management is an asset.
  • Ability to maintain confidentiality.
