Contract Administrator

AUTOBASH Co. Ltd , is the engineering arm of BASH group of companies. We are exclusive manufacturer for GEELY commercial and passenger vehicle brand in Sudan. We are looking for a qualified person to fill the following position:

 Section/Unit: Procurement Department
 Duty Station: Khartoum

 Background:

Autobash Company would like to announce a new vacant position in the capacity of Contract Administrator, in the procurement department.


PURPOSE:

Responsible for preparing, examining, analyzing, negotiating, and revising contracts that involve the purchase or sale of goods or services such as equipment, materials, supplies, or products, he must have an experience in contracts follow up until completing.



 
 Duties and responsibilities:

  • Oversee the preparation and revision of contracts that involve the purchase of sale of goods and services.
  • Follow up the acquisition, distribution, and store of equipment and supplies.
  • Oversee proposal planning and administration of contracts.
  • Negotiate terms and conditions.
  • Prepare contract briefs and revisions summarizing contractual requirements and budgets.
  • Track authorizations and correspondence.
  • Maintain detailed and organized files.
  • Prepare contract change notices, monitor contractor performance, including the reporting and status of contractor and owner deliverables.
  • Maintain an audit file for each contract which will include original contract, all correspondence, changes/deviations, amendments, clarifications, payment schedules.
  • Prepare and disseminate information to appropriate employees regarding contract status, facilitate contractor meetings.
  • Ensure that the contractor is in compliance with legal requirements, owner specifications, and government regulations.
  • Perform closing activities as needed.
  • Track payments and deadlines.
  • Analyze and mitigate risk.
  • Provide contract summaries and ensure contract execution in accordance with company policy.
  • Insure all requirements of the law, executive orders, regulations, and all other applicable procedures including clearances and approvals, have been satisfied.
  • Ensure sufficient funds are available for obligation.
  • Ensure contractors receive fair and equitable treatment.
  • Request and consider the advice of specialists in audit, law, engineering, transportation, and other fields as appropriate.
  • The document that the proposed contract is in the best interest of the company.
  • Issue timely contracts and contract changes.

 
 Minimum Qualification, Skills and Experience Required:

  • Bachelor’s degree in Business Administration or Finance required (Master’s degree preferred)
  • Experience working with and managing contracts.
  • Knowledge and understanding of the legal requirements involved in specific contracts.
  • Attention to detail and ability to notice errors.
  • Working knowledge of accounting principles.
  • 5+ years of experience in contract administration or a related field like accounting, finance or legal.
