 Background:

The International Committee of the Red Cross (ICRC), an impartial, neutral and independent organisation striving to protect and assist the victims of war and internal violence, has been working in Sudan since 1978. The ICRC is looking for an enthusiastic and motivated person for the following position in Khartoum: Secretary.

 

Purpose: ​

Under supervision of the Assistant, the Secretary provides secretarial support to the Management and contributes to the smooth and efficient flow and sharing of information within the Units in Khartoum and offices in Sudan



 
 Duties and responsibilities:

  • Under the supervision of the Assistant, contributes to the efficient organisation of the information management in Khartoum delegation and its sub-delegation
  • Carries out secretarial tasks such as making photocopies, destroying documents and managing stationary stocks. 
  • Prepares for meetings by setting up rooms and materials, including technical set-up for conference calls, presentations and video conferences for the management team.
  • Updates the timeline, tables and charts, schedule and the external contacts of the management and ensures invoices are followed up onUpdated regularly
  • Ensures the distribution of electronic messages and paper documents with confidentiality and accuracy
  • Drafts and finalizes correspondence, bordereaux, internal presentations, meeting minutes and other documents; shares information among users.
  • Translates simple documents from Arabic to English and vice versa
  • Updates various information, documents and listing on internal databases and shared drives
  • Compiles and finalizes various internal reporting
  • Updates and retrieves data in/from specialized tools and databases.
  • Follow-up on specific processes.
  • Applies information-management instructions and ensures compliance with procedures.
  • Readiness to visit sub-delegations at least once a year.

 
 Minimum Qualification, Skills and Experience Required:

  • High school certificate or any other Secretary Qualification and training
  • 2 years’ experience in secretarial, administration, office or service management, client or public relations, or in a field related to the work of the department.
  • Proficiency in spoken and written English and Arabic;
  • Good Computer skills, including Microsoft Office suite, SharePoint and IBM Lotus Notes.
  • Ability to work in an independent and disciplined manner;
  • Strong organizational skills and ability to set priorities and use initiative.
  • Team spirit and the desire to help establish a positive dynamic in the unit.
  • Ability to handle sensitive information with all required confidentiality;
  • Skilled in the following competencies: Leadership, Accountability, People management, Team work & Collaboration, Representing the ICRC, Beneficiary & Client focused.
