The GIZ Office in Addis Ababa is looking for a qualified person to fill the following position (One Position): Office Assistant for the project “Cross-Border Collaboration Programme in Western Ethiopia and South East Sudan”.

Duty station: is Assosa in Benishangul – Gumuz area

Context:
The project is financed by the EU and BMZ and implemented by GIZ and provide local governments, communities and the private sector on both sides of the border with opportunities to improve and diversify livelihoods and better management of shared natural resources, investment in conflict prevention, and promote better cooperation through a combination of strategic and administrative consultations. The overall objective of the project is to address the drivers of migration and strengthen the populations’ resilience to instability and displacement in the borderlands of Benishangul Gumuz in Ethiopia and Blue Nile State in Sudan. This will include investments in enhancing and diversifying livelihoods, including livestock, agriculture and fisheries; strengthening basic service delivery; natural resource management; and promoting cross-border cooperation and coordination, trade and private sector development as well supporting conflict management and resolution capacities. The intervention logic and proposed action has been developed by the EU, BMZ in a consultative process with their partners, the governments of Ethiopia and Sudan as well as IGAD.

A. Responsibilities and Tasks:
The office assistant is responsible for:

  • Performing general clerical services;
  • Assisting the senior office manager with his/her tasks as instructed;
  • Assisting with filing documents in reference files or DMS in line with GIZ’s filing rules;
  • Ensures that the necessary office supplies are available;
  • Purchases office equipment and supplies within set value limits;
  • Reports damage to the senior office manager, organises and monitors the service and repair of office equipment;
  • Photocopies and scans documents as needed;
  • Organises and compiles information materials;
  • Labels files in accordance with GIZ filing rules;
  • Completes forms and tables in accordance with specific instructions from the senior office manager;
  • Helps prepare events, workshops, field trips and other occurrences;
  • Documents service requests and enquiries;
  • Keeping petty cash and the corresponding cashbook, preparing and entering vouchers;
  • Processing settlement of applications for the reimbursement of travel expenses;
  • Submitting the end-of-month accounts from the project cash books and vouchers to the officer responsible.

B. Required qualifications, competences and experience:

Qualifications:

  • Certificate/diploma or similar qualification from a recognised clerical college

Professional experience:

  • At least 1-3 years’ professional experience in a comparable position

Other knowledge, additional competences:

  • Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Confidential handling of data and information
  • Very good working knowledge of ITC technologies (related software, phone, fax, e-mail, the internet) and computer applications (e.g. MS Office)
  • Good management and organisational skills
  • Ability to work proactively and in a dependable, responsible manner with great attention to detail
  • Very good communication skills
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are to be agreed with management
  • Fluent written and oral knowledge of Amharic and English, German and/or one local language to Benishangul – Gumuz Region is an asset
