Technical Team Assistant

The GIZ Office in Khartoum is looking for a qualified person to fill the following position:

GIZ Sudan is looking for a qualified person to fill the following position: Assistant to the Technical Team
Employee is reporting to the Project Manager of the vocational training and food security for refugees and host communities project in Eastern Sudan.
On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and the Delegation of the European Union, GIZ started the implementation of a new project recently in Kassala and Gedaref. The project aims at improving the livelihoods of the local population and refugees alike in two areas of intervention:
1)    Supporting the government and the private sector in improving the quality and availability of market-oriented vocational training for young women and men;
2)    Supporting small industry unions in providing business development services (BDS) for employment-oriented growth of small and medium-sized enterprises.
The Assistant to the Technical Team will be based in Gedaref with regular duty trips to Kassala or other States in Sudan, if required.
The Assistant to the Technical Team will be responsible for: supporting the technical team in reaching its organisational and strategic objectives as well as ensuring smooth administrative processes, communication flow and the coordinating & managing of appointments related to technical team activities

Tasks and responsibilities:

1. Secretariat work and services:

  • organises and prepares technical team meetings
  • reminds, updates and notifies technical team members of upcoming appointments
  • prepares and organises information materials for the technical team
  • manages incoming and outgoing correspondence (telephone, post, fax, email), prioritises and organises it
  • communicates with project partners
  • prepares documents as needed
  • participates in internal and external (team) meetings and workshops and assists with documenting and preparing these, e.g. by taking minutes, organising logistics etc.
  • supports travel management for technical team members.

2. Coordination, management and general coordination:

  • coordinates and monitors schedule and ensures agreed blocks of time are kept clear for planned events relating to the GIZ office
  • supports the technical team in event management coordinates equipment, stationaries and etc. required for meetings with external and internal partners
  • supporting new staff in familiarizing with the work of the technical team
  • regularly prepares a list of events and updates technical team accordingly
  • liaise with project Communication Officer in preparations for events prepared by the technical team

3. Administration:

  • assists in creating and maintaining a filing system for the technical team, treats information confidentially, specifically in the areas of personnel, contracting, and finance
  • updates the filing system daily with incoming and outgoing correspondence
  • helps with contracting and procurement processes

4. Other duties/additional tasks:

  • performs other duties and tasks at the request of management
  • interprets and translates as required
  • welcomes and communicates with technical team guests in a professional and friendly manner

Required qualifications, competences and experience:


  • At least BA in (business) administration, legal background or similar area

Professional experience:

  • At least 3-5 years’ professional experience in a comparable position

Other knowledge, additional competences:

  • very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • good management and organisational skills
  • good communication skills
  • willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
  • confidential and trustful handling of data and information
  • highly service oriented
  • fluent written and oral knowledge of Arabic and English, German is an asset.
