Admin Assistant – Protocol

The United Nations High Commissioner for Refugees is seeking for qualified candidate to fill the following post:
 


 Type of Contract: Internship
 Section/Unit: Protocol Unit
 Supervisor: Associate Protocol Officer
 Duty Station: Khartoum
 Duration: Minimum 2 up to 6 months full time basis (from ASAP).
 Closing Date: 30 Sept 2018

 
 Background:

ORGANIZATIONAL CONTEXT

The intern is part of the Protocol Unit in the Representation Office of Sudan operation. S/he will report to the Associate Protocol Officer and may liaise with different units and sections in Khartoum. 

It is expected that the intern will gain an understanding of UNHCR Sudan Protocol services, rules and procedures as a country wide support function to the operation. S/he will also understand how the Unit operates and liaises with different units/sections and fields offices.



 
 Duties and responsibilities:

FUNCTIONS

The intern’s role is to support and assist in the duties performed by the Unit. S/he will:

  • Assist in various processes involving the Ministry of Foreign Affairs such as visa, registration, Final exit visa, vehicle sale or purchase, importation or exportation of staff members effects;
  • Assist in protocol tasks at the airport (visa, arrival of missions)
  • Assist in preparing and filing of documents related to the process of registration of new official and private vehicles;
  • Assist in arranging entry visas at embassies for staff trainings;
  • Assist in the processes of travel permits to the field for staff members.
  • Assist in filling and photocopying all documents as required;
  • Performing any other duty that may be required to assist the unit in performing its tasks.

 
 Minimum Qualification, Skills and Experience Required:

QUALIFICATIONSAND EXPERIENCE

  • Ongoing higher educational studies in the area of Administration or Social Sciences.
  • One year of relevant experience in preferable
  • Fluency in written and spoken Arabic and English.
  • Good inter-personal and communication skills.
  • Good computer skills, especially Word and Excel.
  • While coaching will be provided, it is important to be able to carry out tasks independently in a multi-cultural environment and to aim to establish harmonious and effective professional relationship with regular UNHCR staffs.

FINANCIAL CONDITIONS AND EMPLOYMENT:

The internship is unpaid. UNHCR will not pay for the internship and all the expenses connected to it. There is no expectation of employment at the end of the internship, and the intern cannot apply for a post with UNHCR, including a consultancy, during the period of the internship and for the six months immediately following the expiration date.

 

 

*An individual whose father, mother, son, daughter, brother or sister is a staff member of UNHCR, is not eligible for an internship.
