The GIZ Office in Khartoum is looking for a qualified person to fill the following position: Administrative Finance Professional with duty station in Khartoum and regular duty trips to other States in Sudan if required.
A. Responsibilities:
The Administrative-Finance Professional is responsible for:

Ensuring good communication and flow of information within the project/programme and with other GIZ staff.
-
Filing documents in reference files or in Data Management System (DMS) in line with GIZ’s filing rules.
-
Providing administrative and accounting services for the programme (e.g. procuring tickets).
-
Meeting the administrative needs of the office independently, with a minimum of intervention.
-
Ensuring that financial and administrative regulations are complied with.
The Administrative Finance Professional performs the following tasks:
B. Tasks:
1. Finance:
-
Manages and monitors the monthly accounting and financial plans.
-
Financial management such as cash withdrawals, keeping the cash/bankbook, bank accounts, preparing and entering vouchers.
-
Carries out spot checks of cash and bank book.
-
Checks request for funds before release.
-
Monitors income, expenditure and monthly bank reconciliation.
-
Monitors real accounts (payables, receivables).
-
Advises on financial aspects of the project management.
-
Prepares financial contribution.
-
Assists with transfer of funds to projects.
-
Makes EU expenses and costs allocation in close coordination with BMM Finance officer based in Brussels.
2. Administration:
-
Manages BMM car fleet (Ensures a close and frequent monitoring of the project/programme vehicle’s logbook(s).

Performs secretariat related functions (writing letter, convening of meetings, meeting minutes taking).
-
Prepares orders to contract and assists regional coordinator in managing contracts worth less than 2,500 euros.

Manages BM Office stock and monitors the availability of accessories and stocks and carries out procurement in accordance with guidelines.

Carries out adequate quality control of any items and goods procured by the project/programme.
-
Keeps the inventory of the project updated.

Ensures that BMM project’s equipment is functional and reports to project manager any damaged or misfunctioning equipment/material.
-
Manages confidential files, specifically in the area of finance.
-
Makes photocopies and scans documents as needed.
-
Organises and manages adapted filing system (as per here-above described respective tasks).
3. Other duties/additional tasks:

Performs other duties and tasks at the request of management.
Required qualifications, competences and experience:
-
University degree in relevant specialisation and qualification in business administration desirable (equivalent of BA or MBA).
-
At least 3 years’ professional experience in a comparable position.
-
Good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office).
-
In-depth understanding of financial planning and accounting and administration.
-
Broad experience of management and administration.
-
Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management.

Fluent written and oral knowledge of Arabic and English, German is an asset.
