GIZ Sudan is looking for a qualified person to fill the following position: (Junior) Procurement Professional in Gedaref
The (Junior) Procurement Professional is reporting to the Project Head of Administration and Finance of a new project for vocational training and food security in Kassala and Gedaref.
On behalf of the German Federal Ministry for Economic Cooperation and Development (BMZ) and the European Union, GIZ will start implementing a new project in Kassala and Gedaref. The start of the project and position is dependent on the host agreement between IGAD and Sudan.
The project has three areas of intervention and aims at improving the livelihoods of the local population, refugees, and migrants:

  • Supporting the government and the private sector in improving the quality and availability of market-oriented vocational training for young women and men.
  • Supporting small industry unions in providing business development services (BDS) for employment-oriented growth of small and medium-sized enterprises.
  • Improving the water management for irrigation and thereby increasing agricultural yields.

Responsibilities include:

  • Dealing with all questions arising in this area
  • Identifying relevant problems and issues and assisting in formulating implementation-oriented solutions
  • Purchasing materials and equipment in accordance with GIZ rules and conditions
  • Processes applications, visas and other necessary permits
  • Filing documents in reference files or in DMS in line with GIZ’s filing rules
  • Providing administrative services for the program (e.g. procuring flight tickets)
  • Ensuring that financial and administrative regulations are complied with
  • Arabic to English and vice versa translation of diverse documents


Within these responsibilities, tasks include:
1- Purchasing / Procurement

  • Procuring materials, equipment and contracts locally, monitoring markets, issuing invitations to tender and processing orders in accordance with GIZ regulations
  • Assisting with checking invoices for goods, vouchers, payment instructions and complaints
  • Taking responsibility for organizing administrative and logistical aspects of project activities (meetings, workshops, travels etc.)
  • Drafting consultancy contracts and local subsidy to be processed at project/program’s level
  • Monitoring the availability of accessories and stocks and carrying out procurement in accordance with guidelines
  • Keeping the inventory of the project updated
  • Assisting GIZ office through the preparation of procurement’s orders and contracts

2- Registration and other requirements

  • Maintaining and updating a database of prices, rates and locations of residential areas, houses and apartments to assist staff looking for accommodation
  • Assisting experts and their family members in obtaining a local driving licence

3- Service for short-term experts and other visitors

  • Providing information for experts and visitors, informing them about the status of their agreements e.g. changes in schedules and other plans, transport services etc.
  • Arranging accommodation for arriving visitors, short-term and long-term experts
  • Evaluating hotel prices and negotiating better room rates
  • Procuring tickets for domestic and international travel

4- Event Management

  • Organizing and coordinating logistical aspects for meetings, workshops, seminars and other events
  • Arranging programs for visitors, making travel arrangements such as booking tickets, flights, hotel reservations, transport etc.)

5- Administration

  • Organizing and filing documents in reference files or in DMS in line with GIZ’s filing rules
  • Coordinating with the GIZ office on the mode of service delivery
  • Ensuring that computers and software function properly
  • Monitoring the availability of accessories and stocks and carrying out procurement in accordance with guidelines

6- Other duties / additional tasks

  • Photocopying and scanning documents as needed
  • Performing other duties and tasks at the request of management


Required experience and qualifications:

  • At least 3-5 years’ professional experience in a comparable positions
  • University degree in relevant specialization and qualification in business administration desirable (equivalent of BA or MBA)
  • Good knowledge of purchasing of materials and contracts, IT knowledge is an asset
  • Very good working knowledge of ITC technologies (related software, phone, fax, email, the internet) and computer applications (e.g. MS Office)
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with management
  • Confidential handling of data and information
  • Good management and organizational skills
  • Fluent written and oral knowledge of Arabic and English, German is an asset
