 Gross Salary: 4.204 SDG
 Duty Station: Based in Khartoum with regular visit to the field

 Background:

Main Purpose
Support the supply department with the all the external work related to customs and transportation, reception goods, dispatch area management and monitor the warehouse stock according to MSF protocols and procedures in order to contribute to the smooth functioning of the mission, ensuring efficiency, accountability and transparency .While the supply officer remains in the office filling in the software and dealing with the administrative work.

 



 
 Duties and responsibilities:

International Fright

  • Prepare the documentation required for the international fright
  • Liaises with the concerned ministries for getting pre-clearance certificates and cargo exemption
  • Prepare the documentation and formal authorization for re-exportation of items from  Khartoum
  • Liaises with clearance agent for air and sea cargo
     

Transportation

  • Ensure smooth transportation of cargo from the Airport / or Port Sudan to MSF OCBA warehouse .
  • Prepare the documentation required for the cargo dispatching from Khartoum to Elfashir / White Nile or any other location outside Khartoum
  • Follow up with the company in case of damage and loses of cargo while in transit.
  • Is responsible for following all information regarding to any cargo and report to supervisor preparing freight manifest for all cargo leaving from Khartoum.
  • If requires, provides support in the field and replaces position on temporary basis
     

Dispatch or Transit Stock management:

  • Organize with the supply officer for reception of  local purchase done by the purchaser
  • Prepares the shipping documents to requester in capital or to the field.
  • Manages the dispatch area
  • Carries out physical stock and items check according to the inventory procedures
  • Organizes and sets up the storage areas and conditions according to the needs and the rules .
  • Ensures that the loading /offloading zones and the storage areas are kept perfectly clean and tidy.
  • Ensures  that the warehouse facilities are supplied with the related equipment and consumables (stock cards, cardboard boxes, adhesive tape) .
  • Ensure sufficient stock for the effective functioning of the mission activity: Periodically check stock levels (physical count), keep track of deliveries, movement of goods, keep informed on price fluctuations, shortages of certain good
  • Receives supplies and checks the reception documents ,quantity and quality according to the PO .
  • Reports any needs relating to warehouse structure and equipment to Supply Manager
     

Administrative and Filing

  • Keeps record of all transport and international documents.
  • Updates the filling system according to MSF OCBA standard
  • Follow up the reception of shipping documents from the field and change the status accordingly
  • Files all flight /truck documents, stock cards transit register and reception .
  • Creates fright manifest and follows the manifest until the good received at the fields and after confirmation, closes the manifest .
  • Updates the transport board with the order movement from Capital to the field base.
  • Ensure efficient supply administration, and implementation of standard tools
  • Responsible for filing documents, correspondence and other papers relating to supply in the projects.
  • Analyze the database of standard items and to compare it periodically with items regularly ordered and archiving of the supply documentation and guarantees the availability and the coherence of supply data
  • Performs any reasonable additional duties when asked by his/her supervise

 
 Minimum Qualification, Skills and Experience Required:

Education              
Essential degree and specialization in Logistics/Supply Chain or other related subject.

Experience
Essential in supply chain management (minimum 2 years) Desirable working experience in INGOs

Languages
Oral and written English and Arabic compulsory
