 Background:


Main Objective
The Admin Assistant for the area of development management will execute HR and administrative support tasks for all tasks related to recruitment and capacity building in the whole mission in order to ensure legal compliance and compliance with MSF procedures.



 
 Duties and responsibilities:

  • Under the Development Manager supervision, execute administrative and legal related tasks.
  • Inform in the systems all personal files and keep them up-to-date in order to facilitate HR processes management
  • Update job descriptions and function grid classification in order to clarify accountabilities and rewarding practices.
  • Prepare and archive formal certificates and other HR documents when needed in order to facilitate hiring processes.
  • Answer all questions on Training, development issues and other specific procedures for all staff.
  • Supervise all movements of personnel from/ to mission/ project/ home/ training location etc. and all related formalities (briefing, visa, accommodation, etc.)
  • Identify venues for recruitment and training issues.
  • Supervise accommodation facilities, maintenance and related services for international and relocated staff in order to ensure MSF standards of living.
  • Support line managers in recruitment and hiring process, ensuring administrative and legal accuracy, in order to meet HR needs.
  • Communicate to and brief new employees on HR Development policies and regulations in order to facilitate on boarding processes.
  • Registers applicants to training and follows-up with HR Manager.
  • Prepare all correspondence with local authorities (i.e. HAC, ministry of labour) in order to maintain good relationships and to do the physical follow up.
  • Support the mission in planning, recording and follow of PMS and capacity building.
  • Be in charge of all capacity building administrative activities in the mission.

 
 Minimum Qualification, Skills and Experience Required:

       Education               Desirable, certificate or diploma in business, HR Management or similar education.

       Experience            Minimum 1 year experience as HR Assistant or in a similar related jobs.,

                                        Desirable experience in MSF or other INGOs

       Languages            Fluent in written and spoken English and Arabic

       Computer              Proficient user of computer (word, excel, internet)

       Competencies      Results orientation, Teamwork, Flexibility, Commitment, Stress Management
